Course and exam enrolment

Compulsory for all components

You must enrol for all components of your study programme, such as lectures, seminars and exams. This applies to both compulsory elements and elective credits. If you are not enrolled, you may not participate. 

Exceptions

Are you an exchange student, are you following a pre-master programme, or are you following courses whilst being registered at another Dutch university? If so, different enrolment procedures apply. You will receive further information by email.

Plan and enrol via MyStudymap

You can enrol via MyStudymap. In this system you can also plan your enrolments in advance. This means you can plan everything in your own time, then submit all your course enrolments in one go at the start of the enrolment period. Please note: your enrolment plan is not an actual enrolment and does not guarantee you a place.

Exams: confirm participation

If you enrol for an exam (or exam component) this is only a so-called pre-enrolment. You must later also confirm exam participation in MyStudymap.
This can be done until 10 days before the exam date. You will receive a reminder to do so. If you do not confirm participation, you may not take the exam and you will automatically be unenrolled.

Deadline

You can find the enrolment deadlines for each course in the prospectus. For most courses, you can enrol till maximum 14 days before the course is due to start. 

Busy periods: ticket system

During busy periods, MyStudymap makes use of a ticket system to prevent the system becoming overloaded. This works as follows: 

  • When you access MyStudymap, you will be put on a waiting list. You can see your place on the waiting list and an estimate of how long you will have to wait. You can also set up an email alert to notify you when it's your turn. 
  • Once it's your turn, you will have ten minutes in which to log in. If you don't log in, you will be allocated a new place on the waiting list. 
  • Once you are logged in, you can go ahead with your planning and enrolment.

Status of your enrolments

On the status screen in MyStudymap you can see if your enrolment has been successful. If so, you will be given access to the course environment in Brightspace and the course will appear in your personal timetable in MyTimetable. Please note: it can become very busy at the start of the enrolment period so you may have to wait a couple of hours for your enrolment to be processed.

The enrollment protocol describes the conditions and deadlines relating to the process of enrollment for courses within Leiden University by bachelor's and master's students.
According article 3.4.1.3 of the Course and Examination Regulations and approved by the Faculty Board, the following deadlines are set for all courses of the Faculty of Law.

NOTE: MyStudymap replaces the enrolment via uSis.
An important change in regard to register for exams is that you have to pre-register but only after a confirmation via MyStudymap your registration for the exam will be final. 
If you have not confirmed your participation at least ten days before the exam, you will be automatically deregistered from the exam. In that case you are not allowed to participate.
Follow the steps below carefully.

Leiden University started using a new student portal MyStudymap for the upcoming study year and allows students to register for courses and examinations.

Note 1: The registration procedure in MyStudymap is NOT for a Guest student (registered at another Dutch University), who want to take one or more (minor)courses at Leiden University. They have to follow the procedure at 'Guest students'.

Note 2: Students of LLM Advanced study programmes are not required to register for courses.

Medio June MyStudymap will be open for planning your schedule for the first semester of the upcoming study year en medio November it will be open for the second semester.

Planning courses and exams

  1. Log in to MyStudymap 
  2. In case of problems with your account check here.
  3. Open your Study Plan. Here you can see your programme for the first and second semester and which courses you (still) have to follow.
  4. Check the course descriptions and the methods of instruction in the Prospectus;
  5. At each course you want to follow:
    • Select one or more study activities/tutorials for which you want to enroll in the first semester.
      Exams are shown as 'TEN' for example TEN 11X. Retakes are shown as 'HER' for example HER 91X.
      Courses of the second semester are not open yet for planning.
    • Note: The date and time listed are for the first tutorial meeting only! So it can be a different time each week and/or there can be several meetings per week.
    • Press ‘save’.
    • For planning elective and minor courses you can add the courses from the prospectus to your study planning in ‘Electives / extra curriculair’.
    • It is not possible yet to enroll for a retake. The registration for retakes opens 30 days before the day of the retake at 13:00 hours.
  6. After selecting your study activities/tutorials check your schedule by pressing ‘Schedule’ at the top of the page.
  7. The weeks in which activities overlap are marked with a red dot.
  8. You can return to your Study Plan to make changes.
  9. After verifying your study activities/tutorials, you have to submit your enrollment. You can do this by selecting the tab Ready for enrollment.
  10. You have made your schedule in concept. You did not submit your enrollments yet.
  11. Please note: your enrollment plan is not an actual enrollment and does not guarantee you a place in the chosen tutorial. 
  12. Medio July/December, it is possible to actually submit your enrollments via MyStudymap.

Submitting your enrollments

Medio July/December it is possible to actually submit your enrollments in MyStudymap. During busy periods, MyStudymap makes use of a ticket system to prevent the system from becoming overloaded. Check tab ‘General’ for more information.

NOTE:

  • You are not enrolled for the planned activities until you have completed the entire process outlined below (submit enrollment and confirm participation). 
  • In order to have access to a course in Brightspace you will have to be enrolled for at least one activity of a course. 
  1. Log in to MyStudymap 
  2. In case of problems with your account check here.
  3. You can verify the activities you scheduled by selecting the tab Ready for enrollment.
  4. Submit your enrollments by selecting Send in the bottom right corner.
  5. It may take a while for your enrollments to be completed. Check the tab enrollment status.
  6. If your enrollment is still being processed, select ‘Refresh page’.
  7. If a course has several workgroups and the workgroup for which you wanted to enroll is full, you have to choose another workgroup.
  8. NOTE: You can only take part in an exam if you have enrolled in the exam and if you have confirmed your participation. See below.
  9. If you are having trouble with your exam registration, send an email before the deadline to OIC@law.leidenuniv.nl  stating your student number, the exam and the failure notification.
  10. A workgroup/seminar will close automatically when it’s full and 5 days before it starts;
  11. The registration deadline for registering for any exam in uSis is 10 days  before the day of the exam taking place;
  12. BEWARE: Once the registration period in MyStudymap has been closed, it will no longer be possible, in any way, to register for the exam or retake! Without a registration in MyStudymap you cannot take the exam.
  13. It is mandatory to bring your LU-Card and a valid passport or ID to the exam for verification.

Confirm participation in an exam:

  • After you have enrolled for an exam, confirming your participation is mandatory for every exam in order to make your enrollment final.
  • You will receive a message to confirm 30 days before the examination date. Confirming your participation is possible up to 10 days before the examination date.
  • Log in to MyStudymap 
  • You can confirm your exams via the ‘Exams admission’ button of the main menu in the student portal.
  • You will find an overview of all the exams for which you have submitted an enrollment.
  • To confirm your participation, select Yes or No in the blue menu.
  • Up to 10 days before the exam you can still adjust.
  • Are you certain you don’t want to participate?  Please unenroll from the exam.
    1. Open your Study Plan.
    2. To open the activities associated with the exam, first click Activities
    3. You can unenroll from an exam by unchecking the box next to the exam. 
    4. Click on save.
    5. Make it final by selecting the tab Ready to submit, check the exam and click send.
    6. You can check the status of your unenrollment by clicking Enrollment status.
    7. Note: if you didn’t unenroll and you didn’t participate this will be shown in your grades list as ‘did not participate’.
  • IMPORTANT TO KNOW: If you have not confirmed your participation at least ten days before the exam, you will be automatically unenrolled from the exam. In that case you are not allowed to participate.

Check your enrollment for exams.

There is only one way to check if your enrollment for the exam(s)  - preregistration and confirmation-  is complete: 

  • Log in to MyStudymap and go to 'Confirm participation exams'.
  • Check if you confirmed your participation with 'YES'.    
  • Check your messages in MyStudymap for validation of your confirmation.

For guest students, registered at another University, who wants to take one or more (minor)courses at Leiden University it's NOT possible to register via MyStudymap. 

Guest students can and must only register in uSis for courses and exams. They have to take the following steps. 

Note: Students of LLM Advanced study programmes are not required to register for courses.

Education and exams
Registration for lectures, workgroups and exams for the first semester, will open medio July en for the second semester it is medio December.
The registration for retakes opens 30 days before the day of the retake at 13:00 hours.

Please read and follow carefully the instructions below.

  1. Check the course descriptions and the methods of instruction in the Prospectus;
  2. Log in to uSis, click on ‘Enroll’ and next on ‘Enroll by entering the class number’. In case of problems with your account check here.
  3. Check the schedules to find the activity/class number;
  4. You can find your schedule in MyTimetable. Click here.
  5. Choose the minor or courses in MyTimetable. You will find the class number below de course in MyTimetable. Enter this number in uSis.
  6. A workgroup/seminar will close automatically when it’s full and 5 days before it starts;
  7. The registration deadline for registering for any exam in uSis is 10 days  before the day of the exam taking place; 
  8. Complete your registration via your shopping cart;
  9. Always check your schedule in uSis to see whether your application has been successful;
  10. If you are having trouble with your registration, send an email before the deadline to OIC@law.leidenuniv.nl  stating your student number, the activity/exam your wish to register for,  and the failure notification.
  11. BEWARE: Once the registration period in uSis has been closed, it will no longer be possible, in any way, to register for an exam! Without a registration in uSis you cannot take the exam/retake.
  12. Should you decide not to participate please deregister for the exam via uSis;
  13. It is mandatory to bring your LU-Card and a valid passport or ID to the exam for verification.

Other subjects related to education and exams

Brightspace is the digital learning environment of Leiden Law School. For help and instructions about Brightspace check the website.

  1. After you registered for lectures, workgroups and/or exams, you are able to access the corresponding course in Brightspace.
  2. Manuals for Brightspace are available on   https://studentuniversiteitleiden.screenstepslive.com/. On every Brightspace page you will find a menu-item ‘Help’.
  3. About 2 weeks before the start of a course, the information will be available in Brightspace.
  4. Log in to Brightspace with your ULCN account.

In MyStudymap is a direct link to the prospectus. The Prospectus includes:

  • Course descriptions and the methods of instruction.
  • The required literature. You can purchase books at reputable bookstores or online. You can purchase readers and syllabi for courses via Readersonline.
  • Contact information of the secretariat and the department of a specific course.

It is mandatory to provide a valid identification document during the examination. In addition, there are rules regarding the materials that you can take with you to the exam.

Valid ID during an exam

The presence is registered at the exam. The following matters are required for this identification and thus participation at the exam:

  • LU-Card and a valid ID. Please note: a copy, whether or not via a mobile or an expired ID is not accepted.

A valid ID is a valid passport, a valid driving license or identity card. If you can not show a valid identity document as mentioned above, you can not take the exam and you must leave the examination room. 

Exam equipment

  • pen, pencil type B or HB black, sharpener and eraser;
  • law books (if necessary and permitted).

Information about study materials that may or may not be brought to examinations and information about lectures and exam access will be published in the workbook of the relevant course and / or on Brightspace. If it is permitted to take material to the exam, it must meet the following requirements:

Brought in legal texts or other material may not contain any notes. Notes do not include:

  • underlining, shadings and markings with fluorescent marker;
  • references to law articles;
  • references to jurisprudence and other literature, provided this is explicitly permitted for a specific examination;
  • "edge"words provided by the publisher of a legislative bundle.

Of course it is forbidden to smoke, to use mobile phones / iPads / tablets and such during exams.

You are entitled to an earlier individual retake examination when:

  • You have submitted the final version of your thesis, whereby the supervisor indicates that it may be reasonably expected that the thesis will receive a sufficient grade,
  • and where the student has completed all but one of the courses of the master’s curriculum
  • and would need to wait at least four months for the next scheduled examination opportunity for the last component of the compulsory curriculum. For this provision the period between 1 July and the middle of August is not included in the calculation.
  • for which a score of at least ‘5’ was achieved on at least one prior occasion in the current academic year or last academic year.

This provision is not valid for course units entitled ‘Privatissimum’ and/or ‘Practicum’ as intended in art. 4.8.1 of the OER.

If you are eligible for an individual retake you can request that by sending an e-mail to OIC@law.leidenuniv.nl stating your name, studentnumber and the particular course.

If you do not meet all the requirements, the Education Information Centre can not give a permission for an individual retake. In case of special circumstances, please send a motivated request to the Board of Examiners.

In case you have two exams at the same day and time, under specific circumstances it is possible to take both exams in one day, provided that it can be arranged. Note that this is only allowed if it concerns exams of mandatory courses of two different studies of the Faculty of Law. We refer to article 4.4.5 of the Rules and Regulations. For instance it states that digital exams are excluded from this regulation as it only applies to exams on paper. 

If you meet the criteria outlined in article 4.4.5 and wish to have two exams in one day, make sure to take the following steps:

  • Enrol for both exams in time.
  • Submit a written request no later than twenty working days prior to the examination date. Please send the request from your uMail to your study adviserThe request should include:
    • Your name and student number
    • The name of both courses
    • The examination date and time

In case you receive permission, the study adviser will send a confirmation by email and will add your name to a special list. About 4-7 days prior to the examination date you will receive an email in your uMail account from the Education and Information Centre (OIC) about the location of the exams and the applicable conditions.

In case you do not receive an email in your uMail account, permission was not granted. You should then proceed to unenrol from one exam.

Under certain conditions, and at the student’s request, a regular student* may retake one exam that has already been passed. Permission must be requested from the OIC to retake a passed exam

Information is provided below about the conditions to retake an exam that has already been passed.

On the grounds of Article 4.1.8 in the Course and Examination Regulations (OER in Dutch) of Leiden Law School, under certain conditions and at the student’s request, it is possible once during a bachelor’s programme, and once during a master’s programme, to retake one written (partial) exam that has already been passed with the grade 6.0 or higher Note: if you are enrolled at Leiden Law School for more than one bachelor’s or master’s programme, you are entitled to one extra retake of an exam that has been passed for each programme. If a degree programme has more than one specialisation, then only one retake of an exam that has been passed is allowed.

Retaking an exam that has already been passed is only possible under certain conditions:

  • the course was passed at the first attempt of the exam during the current academic year; 
  • the course exam was taken for the first time in the programme;
  • the e-prospectus states that it is possible to retake an exam that has been passed;
  • the request form is completed, signed, and emailed to the OIC no later than 20 days after the exam result is announced in uSis (e.g. if your grade was processed in uSis on 5 November, you have until up to and including 25 November to submit your application form).

*Note: retaking an exam that has already been passed does not apply to:

  • exchange students, guest students and students enrolled in an Advanced Masters programme.
  • oral exams, practical exercises, a minor or parts of a minor, assignments, and theses. 

The highest grade counts. Retaking an exam that has already been passed is always done at the regular retake exam of the course component in question in the same academic year. It is therefore not possible to make other arrangements with the relevant Course Coordinator.

Do you meet the above criteria and would you like to retake an exam that you had already passed? Please submit your request no later than 20 days after the exam result was announced.
