Associations need permission for introduction and recruitment activities

20 August 2020

If you are planning an activity to recruit or introduce new members to a study, student or sport association, you will first need permission from the Security Region* and in some instances the University too. This is because of coronavirus.

This only applies to activities that are aimed at introducing new or current students to an association, a degree programme or the city. It does not apply to regular activities for association members, therefore.

Till 3 October 2020

This procedure applies till 3 October 2020 only. Thereafter, associations will no longer need to distinguish between new and current members and the general RIVM corona measures and guidelines will apply to all activities.

Criteria

An activity will only be approved if it meets the following requirements:

  • It will be held in the Haaglanden or Hollands Midden Security Region.
  • Everyone present will observe the corona measures of the Netherlands National Institute for Public Health and the Environment (RIVM).
  • Only a small group of students will be attending.
  • It will be held between 6.00 and 22.00 hours.
  • No alcohol will be consumed.
  • There will be no singing or shouting.

How to apply for permission

PKvV associations

If your association is a member of the Local Chamber of Associations (PKvV), please contact the PKvV. If you are unsure whether your association is a member of the PKvV, contact the PKvV to find out.

Other associations

Use the application form to apply for permission.

Apply in good time

Be aware that it will take time to process your application, so submit your request at least one week in advance.

How does the approval process work?

The University introduction days workgroup will evaluate whether your activity meets the requirements, and will send its verdict to the Security Region. The activity will only be able to go ahead if the Security Region also approves the request.

Members of the introduction days workgroup

  • Renée Merkx (chair) - Director of Strategic Communication and Marketing
  • Jeroen ’t Hart - Director of Student and Educational Affairs
  • Willemijn Nieuwenhuijs - Head of Student Support Services
  • Thomas van Klaveren - Assessor at the Faculty of Governance & Global Affairs
  • Martin Braam - Municipality of Leiden
