Owner of an inactive Microsoft Team? Look out for important email from Microsoft

Are you the owner of a Team in Microsoft Teams? And has your Team been inactive for over six months? Then you can soon expect an automated message from Microsoft letting you know that your Team is to be archived. This is a legitimate message, i.e. not spam or phishing.

What you need to do

Are you happy for your Team to be archived? Then no action is required. Do you want your Team to stay active? Follow the steps in the email you received from Microsoft to retain your Team. If your Team has no owner, all members will receive the email and you should decide together which member takes the steps to retain the Team.

Once your Team has been archived

Your Team will be archived for a period of 90 days, after which time it will be deleted. Within this 90 day period you can still reactivate your Team by following the steps in the mail you received from Microsoft.

Why is it necessary to clean up Teams?

Within the university, there are approximately 13,000 Microsoft Teams that appear to be inactive. Keeping them takes up unnecessary storage capacity. Archiving old Teams is also more secure. From now on, this automated action will take place on a monthly basis.
