MyStudyMap and registering for exams and resits

2 March 2023

In semester 1 there has been a lot of discussion about the introduction of My StudyMap, the new registration system, and in particular about registration and confirmation of (re)exams with their deadlines. Registration and then confirmation of participation in a (re)exam are two separate steps that must both be completed to participate in the exam. If both these steps are not completed before the deadline, students cannot participate in a (re)exam.

At the university level it has been decided that we stick to the system and agreements made in the registration protocol (appendix to the Education and Examination Regulations). This includes the following in point 6:

"If the student does not respond to the request for confirmation within the stipulated period of ten calendar days before the examination takes place, the student will automatically be deregistered for the examination. In that case, the student will be excluded from participating in the examination."

Improvements and technical adjustments have been made, however, to make even clearer the steps to be taken around registration and confirmation, in addition to reminders and confirmation emails.

For example, the status of registering for an exam is made more clearly visible:

1. Student registers for an exam then an orange bullet is shown with the text: "Registration is not yet final".

2. Once the student confirms participation in the exam, the bullet turns green with a white check mark to indicate that the student is registered and has confirmed participation. The information message is changed on the bullet according to the student's choice of "participation confirmed" or "registration canceled.

3. Student does not confirm participation and is automatically disenrolled (situation after deadline 10 or 5 days). The bullet becomes red, and so does the check mark. The information message will be changed to 'enrollment is automatically canceled'

In addition, we will continue to communicate intensively through study advice, the OSC and with the help of the course coordinators to alert students to confirm exam registration.

If a student still cannot meet the deadline for registering and confirming participation for an exam during the period of 10 to 6 working days before an exam, he can report to the Education Service Centre to search together for an appropriate solution.

Given the already very high percentage of students who took the appropriate steps during the first semester and the additional measures that have now been taken, we are confident that the upcoming exam period will go well.
