Erasmus+ for Training

For Leiden University staff members, who want to participate in a training at a European partner university or another relevant organisation.

Una Europa

Is your training within the context of Una Europa? If so, please do not apply for an Erasmus+ for Training grant without prior approval from the Una Europa project team at Leiden University.

For more information, send an email to una-europa@bb.leidenuniv.nl at least 2 months before the start date of your training period.

For who

Leiden University teaching and support staff, including PhD candidates with a Leiden University employment contract.

Eligibility requirements

  • You must be employed by Leiden University.
  • Your training has a minimum duration of two days and a maximum duration of sixty days, excluding travel. Note that the grant will be awarded for a maximum of 14 days due to the limited available budget per mobility.
  • The receiving organisation must be a higher education institution with an Erasmus+ status, or a public/private organisation active in the labour market or in the field of education, training or youth.
  • The Erasmus+ grant for Training cannot be used to cover costs that are already financed by other European Union funds, for example through research and innovation grants.
  • Your training can take the form of a (language) training course, job shadowing, observation period or short course.
  • Conferences are not eligible for the Erasmus+ grant for Training.

Obligations

You must submit all required documents on time both before and after your Erasmus+ period. This includes the Grant Agreement, Mobility Agreement, Certificate of Attendance and Erasmus+ participant report. Leiden University has the right to withhold, cancel or revoke (in whole or in part) the awarded grant if you fail to do so.

Scholarship amount

The Erasmus+ grant for Training is composed of a daily allowance and a travel allowance. The grant is intended as a contribution towards the costs of the training. Therefore it may not cover the total cost of your stay abroad.

Daily allowance

The daily allowance amount is based on the duration of the training (with a maximum of 14 days, including travel days) and the country in which the receiving organisation is located. The Erasmus+ programme countries are divided into three groups based on the level of the daily allowance:

Group 1 - € 120 per day
Austria, Belgium, Denmark, Finland, France, Germany, Iceland, Ireland, Italy, Liechtenstein, Luxembourg, Norway and Sweden. 

Group 2 - € 110 per day
Cyprus, Czechia, Estonia, Greece, Latvia, Malta, Portugal, Slovakia, Slovenia and Spain.

Group 3 - € 100 per day
Bulgaria, Croatia, Hungary, Lithuania, North Macedonia, Poland, Romania, Serbia and Türkiye.

Travel allowance

The travel allowance amount is based on the distance from Leiden University to the receiving organisation, according to the European Commission’s distance calculator. Travel allowance is only granted for distances greater than 10km.

If you use environmentally friendly, sustainable means of transport for the majority of your journey to and from your receiving organisation, you may be eligible to receive a Green Travel allowance. Sustainable transport includes travel by bike, bus, carpooling and/or train. CO2 off-setting does not qualify. Payment of the grant

The grant will be paid to your organisational unit (faculty/research institute/department) after you have completed your Erasmus+ training and have submitted all the required documents on time.

Application process

  1. Fill out the Mobility Agreement for Training.
  2. Sign the Mobility Agreement and ask the responsible persons at both Leiden University and the receiving organisation to do the same.
  3. Save a copy of the Mobility Agreement as 1 PDF file (all pages in 1 document).
  4. Fill out the online application form and attach the Mobility Agreement.
  5. Submit the online application form with the Mobility Agreement attached.
  6. If you are awarded an Erasmus+ grant for Training, you will receive a grant award letter and the grant agreement via email before the start of your Erasmus+ period. Read the grant agreement carefully and sign it.
  7. Return a copy of the signed grant agreement in one PDF file to outbound@sea.leidenuniv.nl at least two weeks before the start date of your Erasmus+ period.

Important: Make sure to download the Erasmus+ checklist for an overview of all procedures to be taken care of before, during and after your Erasmus+ period.

Inclusion Support for staff with a disability and/or additional needs

If you have a physical, mental and/or health-related condition, the regular Erasmus+ grant may not suffice to cover all the costs of your staff mobility. As this may prevent you from participating in an Erasmus+ training period, Leiden University can request Inclusion Support from the Erasmus+ National Agency in the Netherlands.

Inclusion Support is an individually tailored grant intended to cover the extra costs of the support you require before and during your Erasmus+ staff mobility. Inclusion Support can be used to cover the cost of, for example, preparatory visits, a personal carer, a specific (medical) aid or accessible housing. It is based on real costs incurred.

For more information about the application procedure and eligibility requirements for Inclusion Support, contact outbound@sea.leidenuniv.nl at least 6 months before the planned start date of your Erasmus+ staff mobility. Note that the award of Inclusion Support is subject to the assessment of Leiden University and the Erasmus+ National Agency of the Netherlands, as well as the available funds.

Background

Erasmus+ is the EU programme for education, training, sport and youth. It enables staff from higher education institutions, such as Leiden University, to follow training at partner universities and other relevant organisations in order to improve their skills and competencies and to support their professional development.
